Resource LWC - BETA - Additional Filters

    The Utilization tab in Resource Management allows you to search for resources and assess their availability and workload. You can filter resources by attribute, attribute group, or name, as well as by project, project status, task status, or a specific date range.

     

    Please note:

    • Pinned resources are always displayed regardless of any filters applied.
       
    • The project status and task status filters are automatically saved to your resource profile, so they are consistently applied each time you access the resource utilization.

     

    This help article will show you how to search for resources using attributes, attribute groups, project or resource names.

     

     

    Search for Resources by Attribute or Attribute Groups

    You can search for resources by individual attributes or attribute groups.

     

    To distinguish between an individual attribute and an attribute group, look at the icon to the left. If it's gray, it's an attribute. If it's highlighted, it's an attribute group.

     

     

    When searching by attributes and attribute groups, the default logical operator is set to AND. You can switch between AND and OR as needed. These operators apply only to attribute and attribute group filters.

     

    • AND - will return resources that have all attributes and attribute groups selected.
       
    • OR - will return resources that have any of the attributes or attribute groups selected.

     

     

    A resource can be assigned either individual attributes or an attribute group. If a resource is assigned an attribute that belongs to an attribute group, searching by that attribute group will return the resource based on the logical operator defined within the group.

     

    For example, if you have an attribute called "Scarborough" assigned to John Smith (resource), and another attribute called "Etobicoke" assigned to Luis Figo (resource) and where both "Scarborough" and "Etobicoke" are included in an attribute group called "Greater Toronto Area", if the attribute group operator is set to "OR", then searching for "Greater Toronto Area" will return John Smith and Luis Figo. If the attribute group operator is set to "AND", then it will only return resources that have all the attributes in the group.

     

    If you search for attributes and attribute groups (for example: "Developer", "Engineer", "Greater Toronto Area" where "Developer" and "Engineer" are attributes and "Greater Toronto Area" is an attribute group), then it will apply the selected operator between them. This means that if the operator is set to "OR", then it will return resources that match "Developer" OR "Engineer" OR "Greater Toronto Area". If the operator is set to "AND", then it will return resources that match "Developer" AND "Engineer" AND "Greater Toronto Area". Remember that "Greater Toronto Area" will return resources that have been tagged with either the group or any of the attributes within the group, following the attribute group operator.

     


     To remove an attribute or attribute group, click on the “x” to the right of the attribute you wish to remove. 

     

    Search for Resources by Name

    You can also search for resources by name instead of by individual attributes or attribute groups.

     

    When you search for and select a resource, it then displays the resource's utilization across all projects. You can select multiple resources.
     
    To remove a resource, click on the “x” to the right of the resource you wish to remove. 

     

     

    Filter Utilization by Project  

    When viewing resource utilization, you can filter by project to focus on specific work assignments and gain clearer insights into how resources are allocated across individual projects.

     

    You will need to first search for resources by attribute, attribute group or resource name. You can then further filter resources by project. It only shows the resources' utilization for tasks assigned to them in the project(s) you selected.

     

    To remove a project, click on the “x” to the right of the project you wish to remove. 

     

     

     

    Filter Utilization by Project Status

    You can also filter by project status. For example, you may not want to see the utilization of completed or canceled projects. In the example below, we are filtering projects so that it only displays the resources' utilization for projects that meet the status we selected.

     

     

    Filter Utilization by Task Status

    Another way to filter is by task status. For example, you may not want to see the utilization of completed tasks. In the example below, we are filtering tasks so that it only displays the resources' utilization for tasks that meet the status we selected. 

     

    Please note:

    The ability to filter tasks by status is hidden when you are viewing project-based allocation. For more information on project-based allocation, please see Resource LWC - Project-based Allocation.

     

     

    Filter Utilization by Date Range

    You can also filter resource utilization by date range, allowing you to analyze availability and workload within a specific time period for better planning and forecasting.

     

    Click the Date Range icon in the top right corner, then enter your desired start and end dates. To apply the filter, click on Apply. To apply the filter and save your date range, click on Apply & Save.

     

    When you select Apply & Save, the specified date range is automatically saved to your resource profile, so they are consistently applied each time you access the resource utilization.


    Please note:

    The option to apply and save your date filter will be available starting with the June 2025 Major Release, scheduled for deployment to production environments on June 23, 2025.
