Admin Guide - Checklist Items - Add Rich Text Description Field

    With the Rich Text Description field for Checklist Items, administrators can give users the ability to add formatted text, bullet points, and links directly within checklist descriptions. This makes task instructions clearer and easier to follow, especially for complex or multi-step tasks.

     

    For example, a project manager can provide detailed step-by-step guidance for a task, attach links to reference documents, and highlight critical points using bold text or lists. Users can quickly understand what’s required, access relevant resources, and complete tasks more efficiently, reducing errors and improving overall project consistency.

     

    Please note:

    You must be a Salesforce System Administrator to complete the steps in this guide as it requires access to Salesforce Setup.

     

    Grant Access to Rich Text Description Field

    Begin by granting access to the Rich Text Description field in the Checklist Items object.

     

    The following Inspire Planner Permission Sets already include access to this field:

    • Inspire Planner Standard User - v1.12 Permission Set
    • Inspire Planner - Lite User
    • Inspire Planner - Read-Only User

     

    If you are using custom permission sets, you will need to edit them and grant access to this field.

     

    1. In Setup, enter "Permission Sets" in the Quick Find box and click on Permission Sets.


       
    2. Click on your custom permission set. The image below is just an example.


       
    3. Click on Object Settings.


       
    4. Then, click on Checklist Items.


       
    5. Click Edit.


       
    6. Enable Read Access and Edit Access to the Description (inspire1__Description_Rich__c) field and then click on Save.


       
    7. Repeat the steps above for each custom permission set assigned to users who need access to this field.

     

    Edit Checklist Item Field Set

    The next step is to add the Rich Text Description field to the Checklist Item field set so that it displays as a column in the Checklist Item component.

     

    1. Go to Object Manager.


       
    2. Click on Checklist Item.


       
    3. Go to Field Sets and click on Checklist Item Custom Fields.


       
    4. From the list of available fields on top, drag the Description (Rich text version) into the box labeled "In the Field Set".

      There are two (2) description fields - one is Rich Text and the other is Long Text Area. To determine which Description field is Rich text, hover over the field and look for the one where the name is "Description_Rich". This is the rich text version.

      If the Long Text Area Description field is in the field set, you can remove it by dragging it out of the box.

      What you need to know - before you remove:
      Removing the Long Text Area Description field from the field set will make it no longer visible in the Checklist Item component. To avoid losing information, we recommend keeping both the old Description field and the new Rich Text Description field in the field set initially. Move any existing content from the Long Text Area Description into the new Rich Text field first. Once all data has been migrated, you can safely remove the Long Text Area Description field from the field set.

      Click on Save to save your changes.
