Admin Guide - Enable Internal Only Tasks

    The "Internal Only Tasks" feature in Inspire Planner allows you to set project tasks as internal-only tasks, limiting what a Digital Experience user sees. When "Internal Only" is set to TRUE for a project task, and the project is shared with a Digital Experience user, the user sees the project task details, but the task subject is displayed as "Internal Only Task". The project task chatter, file attachment indicator and checklist items are also disabled. However, if preferred project managers can populate an external task subject that is displayed to Digital Experience users.

     

    Please note:

    • This feature is only supported in Digital Experience and only impacts what Digital Experience users see when they view the project.
       
    • You must be a Salesforce System Administrator to complete the steps in this article as it requires access to Salesforce Setup.

     

    Grant Access to Project Task Fields

    There are two (2) fields in the project task object that are used by this feature - "Internal Only" and "External Task Subject". Access to these fields is already included in the following Inspire Planner Permission Sets:

    • Inspire Planner Standard User - v1.12 Permission Set
    • Inspire Planner Standard User - Agile Management

     

    If you are using custom permission sets, you will need to edit them to grant access to these fields.

     

    1. Click on the Gear Icon in the top right corner and go to Setup.


       
    2. Enter "Permission Sets" in the Quick Find box and go to Permission Sets.


       
    3. Click on your custom permission set. The image below is just an example.


       
    4. Click on Object Settings.


       
    5. Go to Project Tasks.


       
    6. Click on Edit.


       
    7. Enable Read Access and Edit Access for both Internal Only and External Task Subject fields.


       
    8. Click on Save to save your changes. Repeat the steps above for all custom permission sets.

     

    Add Fields to Field Set

    You will need to add both "Internal Only" and "External Task Subject" to the Inspire Planner Custom Fields field set in the project task object so that they display as columns in the project Gantt.

     

    1. In Setup, go to Object Manager.


       
    2. Enter "Project Task" in the Quick Find box and go to Project Task.


       
    3. Go to Field Sets. Then, click on Inspire Planner Custom Fields. This is the field set that allows you to add fields as columns to the project Gantt.


       
    4. From the list of available fields on top, drag "Internal Only" and "External Task Subject" in the box labeled "In the Field Set". Then, click on Save.
