The "Internal Only Tasks" feature in Inspire Planner allows you to set project tasks as internal-only tasks, limiting what a Digital Experience user sees. When "Internal Only" is set to TRUE for a project task, and the project is shared with a Digital Experience user, the user sees the project task details, but the task subject is displayed as "Internal Only Task". The project task chatter, file attachment indicator and checklist items are also unavailable. However, if preferred project managers can populate an external task subject that is displayed to Digital Experience users.
Please note:
There are two (2) fields in the project task object that are used by this feature - "Internal Only" and "External Task Subject". You will find them in the list of columns available for you to display in the project Gantt.
Right-click on any column heading in the project Gantt and go to Columns. Then, scroll through the list of available fields and select the following:
You should now see them as columns in the project Gantt. You can drag and drop these columns to re-order and have them displayed according to your preference. For example, you can move them closer to the task subject, if preferred.
To set a project task as internal-only, simply set "Internal Only" to TRUE.
When "Internal Only" is set to TRUE for a project task, the task subject will display as "Internal Only Task" to a Digital Experience user when they view the project. The project task chatter icon, file attachment indicator, and checklist icons are also unavailable. The image below is an example of what it would look like for the Digital Experience user.
However, you can choose to populate an external task subject that will be displayed instead of "Internal Only Task". Simply populate the "External Task Subject".
In the example below, the Digital Experience user sees the External Task subject instead of it being displayed as an internal-only task.
When a Digital Experience user prints or exports the project, internal-only tasks will display the task subject as "Internal Only Task" unless there is an External Task Subject populated. This matches what the Digital Experience user sees on-screen.
