The Template Console is where you manage your project templates as versioned products and roll improvements into the projects already running them. Instead of a template improvement only reaching new projects, Smart Sync lets you push the change into active projects - reviewing every change, protecting work that has already started, and showing the schedule impact before anything happens.
This article walks you through how to turn on the Template Console, give users access, set up the tab and record pages, migrate existing templates, and enable Smart Sync (Premium+).
Note: Both features are BETA. Turning them off hides the screens but never deletes templates, versions or sync history.
Before you get started, confirm the following:
The Template Console can be enabled for all Inspire Planner users or selectively enabled for specific users, depending on your organization’s requirements.
The setting lives in the Inspire Planner Config custom setting, which supports profile and user overrides. To pilot the Template Console with a small group, leave it off at org level (leave off in Inspire Planner Settings) and turn on Enable BETA Template Console for a profile or user:
Template Console users need their usual Inspire Planner permission set (for project access) plus one of the Template permission sets below.
Note: Smart Sync actions (Review & Sync, apply, revert) also need the Manage Template Sync custom permission. It is included in the Template Admin and Template Owner permission sets.
The Template permission sets make the Template Console tab visible, but it still has to be added to the app’s navigation bar.
When a user opens a template from the Template Library, Salesforce shows the Project Template record page. Inspire Planner ships a ready-made page, Template Console Record Page, with the Overview, Composition, Active Projects, Versions and Sync Runs tabs.
Inspire - Template Record Page
Inspire - Template Sync History
Project managers can see what Smart Sync changed in their project when the Inspire - Template Sync History component is on the project record page.
Existing Inspire Planner templates (projects marked as a template) can be moved into the Template Console with the Migrate to Template Console action on the project record.
For instructions, please see Admin Guide - Migrate to Template Console Action.
Migration turns an existing template project into version v1.0 (Active) of a new template family. It also links every project already created from that template, so Smart Sync can compare those projects with future versions. Nothing in the projects’ schedules changes.
For instructions, please see Migrate Existing Templates to Template Console.
Smart Sync depends on Advanced Scheduling, the native scheduling engine that recalculates schedules inside Salesforce. Advanced Scheduling is a private BETA for Premium+ customers. It is not in Inspire Planner Settings and is not turned on by Enable all BETA features.
If projects are created from Opportunities, each Project Template Mapping record links a product to one specific template version. Promoting a new version does not move these mappings. After every promotion, open the Project Template Mapping records for that template and change the Project Template field to the new Active version. Projects created before the change keep the version they started from.
Approved changes are applied by a background job, one project at a time, so large portfolios do not block the user.
If a teammate has a project open for editing, that project is skipped and retried by the Beacon system job. Keep system jobs scheduled.
When a sync changes a project’s tasks, the project’s schedule is recalculated automatically.
Progress and results are on the template’s Sync Runs tab. Background jobs are also visible in Setup → Apex Jobs.
Reverting a sync restores removed tasks from the Recycle Bin. Salesforce keeps deleted records for 15 days, so revert a sync within that window.
