The Assignment Completion Rule feature gives you greater control over how Project Tasks are marked complete when multiple resources are assigned. You can choose whether a Project Task is completed only when all assignees finish their Salesforce Tasks (current behavior) or as soon as the first assignee completes their task.
The rule is set at the Project level and can be overridden for individual Project Tasks, making it easy to support different workflows within the same project. When using First to Complete, Inspire Planner automatically completes the remaining assignment tasks to keep everything in sync—improving efficiency and reducing manual updates.
This enhancement provides more flexible task completion logic while maintaining consistent data and user experience across projects.
When multiple resources are assigned to a single Project Task, Inspire Planner creates one Salesforce Task for each assignee. These Salesforce Tasks represent the individual assignments for that Project Task.
The Assignment Completion Rule determines when the Project Task is automatically marked as completed based on the status of those assignment tasks.
The Assignment Completion Rule is configured on the Project and controls how task completion is evaluated when multiple assignees exist.
Available options:
All to Complete (Default)
The Project Task is marked complete only after all related Salesforce Tasks are completed.
This matches the current Inspire Planner behavior.
First to Complete
The Project Task is marked complete as soon as any one assignee completes their Salesforce Task.
Inspire Planner automatically completes the remaining assignment tasks and sets their Percent Complete to 100% to keep all records aligned.
Individual Project Tasks can use a different completion rule than the rest of the Project.
Each Project Task includes an Override Completion Rule checkbox.
When unchecked, the Project Task follows the Project’s Assignment Completion Rule.
When checked, the Project Task uses the opposite rule.
This allows different workflows within the same project while maintaining a consistent default setting.
A read-only Task Completion Rule field on the Project Task displays the effective rule being used after evaluating both the Project setting and any task-level override. This helps users quickly understand how completion will behave for that task.
When an assignee updates their Salesforce Task:
Inspire Planner evaluates the effective completion rule.
The Project Task is updated according to that rule.
If First to Complete applies, remaining assignment tasks are automatically completed to keep progress synchronized.
The Assignment Completion Rule can also be defined on Project Templates and the Global Default Template.
Projects created from a template automatically inherit the template’s rule.
Project Task override settings are also inherited, ensuring consistent behavior across projects.
No changes occur automatically for existing projects.
Projects without a value set continue using All to Complete behavior.
Administrators or project managers can enable First to Complete at any time by updating the Project setting.
Exceptions can be handled using the Project Task override option.
The Assignment Completion Rule is set at the Project level. If you create a project using a Project Template, the rule is automatically copied from the template, so you don’t need to configure it again. Setting the rule on a Project Template helps ensure it is applied consistently across all projects created from that template.
After the column is visible, select the Override Completion Rule checkbox for the Project Task(s) where you want to apply the override. When unchecked, the Project Task follows the Project’s Assignment Completion Rule.
Remember to save the project when finished.
