Timesheet Approval Page - BETA

    The Timesheet feature in Inspire Planner groups time entries into weekly records, providing a consolidated view of total hours. By default, each timesheet covers one week (Sunday to Saturday) and automatically includes all time entries with work dates within that period. Once submitted, the timesheet is locked—preventing further edits or additions—and can then be used for reporting and analysis. For more details, see Timesheets.

     

    The Timesheet Approval Page allows managers to review and approve submitted timesheets, ensuring accurate time reporting and oversight of project hours.

     

    This help article will show you how to use the Timesheet Approvals Page.

     

    Before you begin

    Complete the steps in the Admin Guide - Timesheet Approval Page (BETA).

     

    Specify the Timesheet Approver in Resource Profile

    Start by assigning a Timesheet Approver for each resource from their Resource Profile. You can view and edit Resource Profiles either from the:

    • Resource Profile Tab
    • Resource Management Tab

     

    Please note:

    When a timesheet is submitted, Inspire Planner automatically populates the Timesheet Approver field on the timesheet record. This determines who can view and take action on the submitted timesheet.

     

    If a resource’s Timesheet Approver is later changed, previously submitted timesheets will remain visible to the former approver, while newly submitted timesheets will be routed to and displayed for the new approver.

     

    From the Resource Profile Tab

     

    1. Go to the Resource Profile tab. If you do not see Resource Profile in your Nav bar, go to the App Launcher and search for it.


       
    2. Click on the Resource Profile Name to open the record.


       
    3. Edit the record and select a timesheet approver for the resource. When the resource submits their timesheet, it becomes visible on the timesheet approver's approvals page.

      Save your changes.


       
    4. Repeat the steps above for each resource.

     

    From the Resource Management Page

    When the Integrated Resource Profile is enabled in Inspire Planner, you are able to view and edit Resource Profiles directly from the Resource Management component.

     

    1. In the Resources tab, simply click on a user's name. This will open their resource profile on the right.


       
    2. Click on Edit beside Resource Profile.


       
    3. Select a Timesheet Approver for the resource and click on Save to save your changes.


       
    4. You can also view and edit a Resource Profile from the Utilization tab. Simply click on a user's name, and it will open their resource profile in a sliding panel on the right.


       
    5. Click the Edit icon beside Timesheet Approver.


       
    6. Select the timesheet approver for the resource and then click on Save at the bottom of the panel.

     

    For Timesheet Approvers - Set Timesheet Manager to TRUE

    On the Timesheet Approver's Resource Profile, you will need to set Timesheet Manager to TRUE. This grants them the ability to edit and approve timesheets for any user, even if those timesheets are already submitted and locked. This override is not limited by reporting structures or staff assignments, making it easier for authorized managers to maintain accuracy and resolve timesheet issues without delays.

     

    You can view and edit Resource Profiles either from the:

    • Resource Profile Tab
    • Resource Management Tab

     

    From the Resource Profile Tab

     

    1. Go to the Resource Profile tab. If you do not see Resource Profile in your Nav bar, go to the App Launcher and search for it.


       
    2. Click on the Resource Profile Name to open the record.


       
    3. Edit the record and set Timesheet Manager to TRUE

      Then, save your changes.


       
    4. Repeat the steps above for each timesheet approver.

     

    From the Resource Management Page

    5. Click the Edit icon beside Timesheet Manager.


       
    6. Set Timesheet Manager to TRUE and then click on Save at the bottom of the panel.

     

    For Timesheet Approvers - View and Approve Submitted Timesheets

    A timesheet must first be submitted in order for it to appear on the Timesheet Approver's Approval Page.

     

    1. To view submitted timesheets, go to the Time Tracker tab.


       
    2. Next, go to the Approvals tab. Timesheets are organized by status—To Be Approved (Waiting for Approval), Rejected, and Approved.


       
    3. In Details, you can see the timesheet owner and timesheet date range.


       
    4. Click on the View icon to view all time entries included in the timesheet.


       
    5. To review a time entry, click on the time entry name to open the record. When you’re ready to approve, just select the radio button on the right — or save time by clicking Approve All at the bottom to approve everything in one go.

      Approving all time entries approves the timesheet.


       
    6. Another way to quickly approve all time entries is to approve the timesheet by clicking on the Approve Timesheet icon. This will set the timesheet status to "Approved".

      Approved timesheets automatically move to the Approved section.

    7. To reject a timesheet, click on the Reject Timesheet icon. This will set the timesheet status to "Rejected".

      Rejected timesheets automatically move to the Rejected section.


       
    8. You can post messages on the Timesheet chatter. The chatter feed is visible to both the timesheet approver and the timesheet owner.
