Project Task Health Indicator

    With the Project Task Health Indicator in Inspire Planner, With the new Project Task Health Indicator in Inspire Planner, you’ll see visual health icons right on your Project Task and Salesforce Task records—showing whether each task is On Time (🔵), At Risk (🟠), or Late (🔴)

     

    These indicators update automatically based on the task’s planned finish date, percent complete, and remaining work—giving you a real-time, standardized view of progress across your entire project.

     

    • On Time - a task will show up on time when:
      • The task is complete and the Actual Finish Date is on or before the Planned Finish Date, OR
      • The task is still in progress and it is pacing well — the expected work remaining fits into the time left until the planned finish date, OR
      • Certain key fields are missing (for example, Duration or % Complete) — in these cases the system defaults to “On Time.”
         
    • At Risk - a task will show at risk when:
      • The task is in progress (not yet 100% complete), AND
      • The task is not yet overdue (today’s date is still before the Planned Finish Date), AND
      • Based on the percent complete and duration, there is more work left than the time remaining (For example: The task is 20% complete on a 10-day duration (8 days of work left), but there are only 5 calendar/business days left until the planned finish)
         
    • Late - a task will show as late when:
      • The task is complete and the Actual Finish Date is after the Planned Finish Date, OR
      • The task is still open and today’s date is already past the Planned Finish Date.
         
    • Blank - a task does not display an indicator when:
      • The task is marked 100% complete, but the Actual Finish Date has not been entered.
      • This indicates the completion date needs to be captured before health can be determined.

     

    Please note:

    • Planned Finish Date is the date the system uses to judge progress. If project managers move this date forward, tasks may appear “On Time” even if they were behind the original baseline.
       
    • Baseline Finish Date is not used in Task Health. It can be used separately in reports to measure variance against the original plan.
       
    • If weekends are not considered workdays on the project, the system automatically adjusts “time remaining” to exclude Saturdays and Sundays.
       
    • If you do not see the Task Health Indicator, reach out to your Salesforce System Administrator and have them complete the instructions in Admin Guide - Project Task Health Indicator.

     

    Track Task Performance at a Glance

    As mentioned earlier, the Project Task Health Indicator in Inspire Planner displays visual icons directly on your Project Task and Salesforce Task records, showing whether each task is On Time, At Risk, or Late.

     

    By adding this field to your Project Task and Salesforce Task layouts, users can instantly see the current health of each task at a glance.

     


     

    When working with List Views, consider adding the Task Health field as a column — this allows you to quickly identify which tasks are on track, at risk, or delayed without opening individual records (see example below).

     

     

    You can also include the Task Health field in reports to monitor task performance and overall project health in a consolidated view (see example below).
